Data Management

Rooted Holistic Massage collect and process your personal information in accordance with UK GDPR requirements. This includes health information necessary for safe treatment provision.

We do not share your personal information with third parties except where required by law or for emergency medical situations.

Your information is used solely for:

  • Providing safe and appropriate treatments

  • Appointment scheduling and contact

  • Legal and regulatory compliance

  • Legitimate business interests

You have the right to access, correct, or request deletion of your personal data. Please contact us to exercise these rights.

Booking Policy

  • All bookings must be made in advance via email or Instagram. A 50% deposit is required at the time of booking to secure your appointment.

  • Clients arriving more than 15 minutes late may need to reschedule. If the appointment proceeds, the full duration may not be available and full payment is still required.

  • Refunds are considered on a case-by-case basis and are at our discretion.

  • Gift vouchers are valid for 12 months from the date of issue and are non-refundable but may be transferred.

  • Clients under 16 must be accompanied by a parent or guardian. Clients aged 16-18 require parental consent for treatment.

Cancellation Policy

  • 24 hours notice required for cancellations,

  • Cancellations made with less than 24 hours notice will incur a 50% charge,

  • No-shows will be charged the full treatment fee,

  • Rooted Holistic Massage reserve the right to cancel appointments due to therapist illness or unforeseen circumstances.

Health Disclosure

Massage therapy is not a replacement for medial care. Rooted Holistic Massage does not diagnose medical illness, disease or any other physical or mental conditions.

Massage therapy is a complementary treatment that supports wellbeing but is not a medical treatment. Rooted Holistic Massage cannot make guarantees about treatment outcomes and cannot be held liable for any failure to achieve desired results.

Rooted Holistic Massage does not prescribe medical treatment, pharmaceuticals, nor perform spinal manipulation.

Clients must complete a health questionnaire before their first treatment and update Rooted Holistic Massage of any changes to their health status. You must inform us of:

  • Any medical conditions, injuries, or disabilities,

  • Current medications or treatments,

  • Pregnancy or possibility of pregnancy,

  • Any allergies or sensitivities,

  • Recent surgeries or medical procedures.

Contraindications

We reserve the right to refuse or modify treatment if we believe it may be unsuitable for your health condition. Please consult your GP before treatment if you have any concerns.

COVID-19 and Infectious Diseases

Clients must not attend appointments if they are feeling unwell, have symptoms of infectious disease, or have been advised to self-isolate. We reserve the right to refuse service to anyone who appears unwell.

Professional Boundaries

All treatments are conducted in a professional, therapeutic manner. Any inappropriate behaviour, sexual advances, or harassment towards our staff will result in immediate termination of service and may be reported to relevant authorities.

Underwear Policy

For all massage treatments, clients are REQUIRED to wear underwear at all times. This policy is non-negotiable and applies to all clients regardless of the type of massage being received. Specifically:

  • Clients must wear appropriate underwear (briefs, pants, or similar),

  • Treatment will not proceed if this requirement is not met,

  • No exceptions will be made to this policy.
